This is a major new feature which will expand over the next few releases. The analytics dashboards allow you to visualise your data in a variety of charts and lists. These Dashboards will take data from any of our custom reports and can also use our pre-built templates too. To get started with Dashboards go to Reports > Dashboards > Manage Dashboards.
Managing Dashboards
From the Manage Dashboards page you will see a list of all the Dashboards that have been created as well as all the system templates. When managing your dashboards you can search by name to find specific dashboards. You can also filter your search so that you can see one of three options: view only the system templates, your own custom dashboards or view all Dashboards at once. You can also filter by Department, so you can view only Department specific Dashboards.
Custom Dashboards
From the Manage Dashboards page you will see a list of all the Dashboards that have been created as well as all the system templates. We will now explore how to create a personalised dashboard. (The ability to create your own dashboards forms our new Custom Dashboards Add-on. Custom Dashboards will cost 10% of your existing account costs to use and can be disabled anytime.)
To get starting setting up your own Dashboard, first go to Global Settings and under Features enable Bespoke Analytics Dashboards then come back to the Manage Dashboards page and you will see the Create New Dashboard option in the Actions Bar.
Setting up Dashboards
When building a Dashboard, you will need to set details, including a title, what departments have access to this Dashboard and who has permission to view. Permission to view already includes everyone who has been given permission to view under access levels, but here you can choose to add any additional access levels that you want to be able to view this specific Dashboard.
Dashboard Types
When creating a Dashboard, a key feature to consider is the Dashboard type, as this will affect where you can view your Dashboards in StaffSavvy. You can choose to create a general Dashboard that will only appear under the Manage Dashboard page, a specific Dashboard that will only appear on a staff member’s profile, or a Dashboard that can appear under the Holiday tab, Shifts tab, or the Training tab.
In general you will always be able to view your Dashboards under the Manage Dashboards page.
Dashboard Panels
Once you have created details for your Dashboard, you can add panels to customise your Dashboards. These panels are what make up the building blocks of your Dashboard and are StaffSavvy’s way of visualising your data.
There is a list of existing panels that you can use whilst building your custom Dashboard, including:
- Active Sickness - Total number of staff member's currently off with sickness
- Staff Member Overview - Overview of staff member
- Staff Member Turnover - Yearly turnover of staff member
- New Hires - All new accounts created in the last month
- Unassigned Shifts Today - Total number of unassigned shifts you have access to that week
These are all editable and you can go in and adjust the title and details of each part of the Dashboard.
You are also able to adjust the layout and move around the order each panel will appear as you complete your Dashboard.
This is an expanding feature and we will be adding more panel options based on user feedback so make sure to contact support if you have any requests.
Custom reports data in Dashboards
You are also able to build a completely new panel by pulling information through from a custom report.
For each panel you can set specific details. You can set a new title for your panel and set which report you will be pulling information from. From that report you can pull one column through (although you can create multiple panels using the same column, just be sure to create and title a new panel). After the basic details, you can filter what data should be pulled through depending on the column.
Finally, you can choose how you want this information to be displayed. We have several display chart options, including Bar charts, Nightingale charts, Pie charts, Lists and more. You can also sort data alphabetically. The only thing you need to decide is what is the most effective way for your data to be displayed.
Template Dashboards
On the Dashboards page you will see different options depending on whether you have enabled our custom dashboard Add-on. If you have not signed up for our Custom Templates Add-on, you will only have access to our Template Dashboards as they are being made available for all clients as part of your existing plan. You will see a list of Templates including:
- Absence by week - This template includes all Absence days and categories for the current week
- Current Day Summary - This offers a summary for the day of who is off sick, any unassigned shifts for the day and the number of scheduled shifts and known absences.
- Expenses Per Venue - Shows the value of approved expenses, splitting up travel expenses vs other expenses.
- My Absence - Personal summary of sickness taken over the year.
- My Shift Attendance - Summary of skills worked and attendance.
- Recruitment - Summarises the number of new hires, applicants and interviews.
- Retention and Turnover - Summary of headcount, new starters and leavers to give turnover.
- Scheduled Hours versus Worked Hours - Shows the number of hours worked compared to the number of hours that had been scheduled, split by venue.
- Shift Attendance - Summary of attendance and non-attendance reasons for the last month. Displays the staff member's name and sorts them by the number of instances of that attendance/non-attendance reason.
- Sickness Absence by category - Summary of monthly and yearly absences by category .
- Staff Overview - This Dashboard details changes made to the total number of staff, the number of salaried VS casual contracts (as well as any changes to that figure in the last 12 months). Additionally, here you can see a visual comparison of the number of staff assigned per venue/skill/contract.
- Venues Dashboard - Displays the proportion of staff assigned to each venue. Also displays the Managers per Venue.
You can view these from the Manage Dashboards page, just click View.
For relevant panels, you will also see a grey drop down arrow next to a panels title. This allows you to either refresh the data so it is up to date, or record a snapshot of that data.
