How to manage Jobs and the Visual Hierarchy

In this video, we will explore a new feature of StaffSavvy, 'Jobs', which can be renamed 'Positions', 'Seats' or 'Roles'.

 With jobs, you can set who each job reports to, and you can then view this in a visual hierarchy to see the chain of command.

In the system, jobs are different from ‘Skills’. Skills are normally used to schedule a staff member's tasks on a given day, whereas Jobs help indicate the staff member's general role and where that role fits in the company structure.

In detail, we will go through:

• How to create and edit a job
• How to assign people to a job
• How to manage the visual hierarchy

Step 1

Granting Permissions

You have two system permissions relating to jobs. This includes ‘Manage Jobs’, which revolves around assigning jobs. Then there is the ‘View Jobs’ permission, which means this level of staff member can view the organisational hierarchy, which might be more helpful for senior personnel rather than accessible to the entire workforce.

Step 2

Creating a Job

Once you have set up your permissions, you can start setting up a job. You will need to go through System > Staff Data & Processes > Manage Jobs. From here, you can use the action bar to view the Job Hierarchy or create a new job.

When creating a job, you can decide on the job title, description, and who that job reports to.

The description should include the general responsibilities for that job that are specific to this role.

You also need to input here who this job reports to. They will directly report to this person, as jobs work hierarchically within the system, which will become very clear in the visual hierarchy.

Once you are happy, then click save. From here, you will see all the jobs that have been created in a list, and you can see who is currently assigned to a job.

Step 3

Assigning Staff to a Job

Once you have created a Job, you can start assigning staff to it. To assign staff, click ‘Manage Assignments’.

Simply type in the name of the staff member to add them. Then choose what type of appointment this is, whether it is a permanent contract or something more temporary.

You can also attach a contract to the record.

Then, finally, add the start and end date for the person taking the position, though you can leave this open if this is for a permanent position.

Step 4

Visual Hierarchy

The Job Hierarchy page quickly and clearly shows the different roles in your organisation and the chain of command.

Additionally, each job has an interactive button in the right-hand corner. When clicked on, you can edit the job from here or add an additional chain to the hierarchy.

Adding a new chain to the hierarchy will automatically appear below the job you edit.
