StaffSavvy’s training section allows for the management of your training program for staff. If you have training that you want staff to complete as they step into a role you can set this up here. This can be as simple as creating an exam and assigning it as a Skill requirement or as complex as creating an entire training program, that includes training days, online training modules and exams.
Our training tools offer a completely blank canvas for you to upload an existing program or to create a new one from scratch internally on the system.
Our training tools are made up of four key parts. There is also an optional fifth part; programs. These stages all join together into one larger training structure.
- Programs - Can be called workbooks, paths or packages. A program is a collection of Certificates that need to be completed. These programs can be ordered by phases so that the program must be complete in a linear way. Once complete, the program will issue out a program certificate.
Programs can be set up to expire if any of the certificates within them expire, they can expire after a certain length of time or they can have no expiry.
A certificate can be assigned to multiple different programs and a staff member would only need to complete a certificate once if required by multiple programs.
- Certificates - Often called stages, workbooks or levels. These are normally the top level of training and is a way of managing and grouping together specific courses and exams. Each certificate allows you to attach a physical certificate for staff records and add an expiry date (if you want staff to need to redo training more than once). It also allows you to add paid time entries for time spent on the course. Each certificate must have at least one module but can have as many as required.
Examples: Basic Training, Food Hygiene Level 1, SIA
- Modules - These are parts of a certificate. They can be compulsory or optional and you can set how many optional modules must be passed to complete the certificate. A module can be online or physical and can have an online exam attached. Modules also allow you to add paid time entries for time spent on the course.
Examples: Licensing, Cellar Management
- Courses - These are used on physical modules only; they are set dates and times that a staff member needs to attend a physical training session. They are usually run by manager (but can be run by any member of staff) and they report who passes and fails the course and therefore, the module. Multiple courses can be set up on each module and a course can be a single date and time, or can be a “string” (e.g. the Cellar course is every Tuesday at 3pm for three weeks). Staff sign up for the course that suits them and their availability.
Physical Modules can have as many courses as needed. If there are no courses coming up then this will be flagged within the management view.
Examples: Food Hygiene (external examiners), Cellar Course, Safe Lifting.
- Exams - These are online tests that must be passed to complete a module. They are multiple choice or essay answers and can have complex marking rules to ensure staff have the correct knowledge. You can also allow staff to retake them without manager involvement. Online Modules can only have one exam assigned but you can add as many online modules as needed for different exams. Exams also allow you to add paid time entries for time spent on the Exam. You can also set whether or not staff get paid if they fail the exam and need to retake it.

As you can see this Certificate includes a mix of both online and practical courses, but you can choose to set this up however works for your training needs.
There are also a few other elements to be aware of:
- Managed externally - Under your certificate options you can select whether the training is going to be done on the StaffSavvy system internally (via physical courses and online exams) or by another external/manual system.
- Training Locations - These are physical locations where your courses take place. These only apply if you are You can provide information to staff on where to go, where to park etc. A course must have a location set.
- Feedback Forms - You can request feedback on physical courses once they have been completed. The feedback forms can be anonymous or not and can contain any number of questions and answers. Results are summarised for you and you can also see results per course date.
