Training Certificates (Also known as stages) are a collection of training courses and exams grouped together all under one certificate. Certificates will be made up of modules (modules can either be in person courses or exams) and each module can cover a different topic.
Certificates can be self managing; they will automatically pass the staff member once the required modules are completed. They can then grant access to another stage so the staff member can continue their training program. This can be navigated to from Dashboard > Training > Manage Training Plan > Manage Certificates > Edit.
From this page you also have a search bar where you can search for certificates by name. This top bar also allows you to filter by department or clear all filters.
You can choose exactly who has access to which certificate. Once assigned to a certificate, staff members have access to all of the modules and courses within it.
Creating a Certificate
A Certificate is great way to start building training from. If you want to create a certificate, there are several different configuration options to set up. Simply select Create Certificate from the actions menu.
Settings & options
From here you can set your Certificate details which include, creating a title, providing a short summary about the Certificate and any course information you want to include. You can also set whether the certificate will expire or not, and which Departments have access to it. The site will provide warnings to the employee directly and to managers via the Expiring Training Report if you set an expiry date.
Other important details to consider include:
- Managed By StaffSavvy - Whether this Certificate will be created internally on StaffSavvy or instead links to an external training program. When enabled, this removes all modules and will simply direct the staff member to the program details page. You can provide an external training URL for them to visit, too.
- Automatic Pass - This option, allows you to automatically pass any staff member who has passed all the required modules (and the stated number of optional modules). Without this enabled, managers must manually confirm the stage is complete (and, optionally, upload a copy of their certificate).
- Optional Module Requirements - This sets the number of optional modules that must be completed to pass the stage.
- Next Certificate - When selected, the system will automatically grant a staff member access to the appointed certificate when this one is marked as complete. In combination with exams and automatic passing of stages, this allows for a completely self-managed training program.
- Printable Certificate - This allows you to either create a certificate or upload a copy of a physically issued one.
Note: The create a certificate option is undergoing refurbishment and will be updated in a future version. The current version may have issues on certain browsers. - Staff Member Certificate Upload - When enabled, the staff member can upload their certificate to prove they have completed the training. This will automatically be displayed on manager’s dashboards if they have permission to approve documents in general. Managers can then approve or reject the certificate and enter the date the staff member passed the training program. These certificates are then also stored on StaffSavvy and are available under their profile page.
Time entries
Another feature of Certificates is that you can choose whether to enable time entries. You can also allow time entries on individual modules but here you can set what the default position on time entries should be for the whole Certificate.
You can choose how much of the duration of the time entry you want to pay be that 5 minutes or up to 24 hours. You can also select which pay element you want to use for training (which might be different from their normal pay rate), and you can set how many failed exam attempts will be paid for.
Then once your happy, click save and you will have set up a certificate.
Resources
Another optional feature you can utilise in Certificates is resources. You can find resources under the MORE button next to the certificate you are interested in in the Manage Certificates page. Here you can upload any documents or files that are relevant to the Certificate.
These documents can be marked as required or optional reading. Required reading documents are shown to course leaders along with which of the course attendees has opened/downloaded them.
This is a good location to upload training workbooks for online exams.
Alternative Skill Certificate Requirements
Skill Certificate Requirements support alternative certificates, so one of several certificates can be valid to allow access to work in that skill. Once you go under Staff > Staff Settings > Staff Skills > Skill Requirements, you can choose which certificate will be required for the skill.
It then allows you to Add an Alternative and presents you with the same Certificate options. Once added, the staff member can either complete the certificate or any of the alternatives, which will fill the requirement.
This is not to be confused with adding another certificate requirement, which will instead require you to complete only the certificate picked.
Training Certificates Custom Expiry Dates
You can now set custom expiry dates on training certificates so you can explicitly state when a certificate expires rather than using automatic expiry periods. To do this, when confirming completion or editing completion dates, you can now set a custom expiry date for that certificate. This will override any default expiry settings on the certificate.
