A course is a physical training session with a start time, end time and location. Courses are created as part of a physical module and can be a single date or a “string” of dates that make up a full course. Depending on what has been set up in your module configuration, once you have added some courses staff will be able to sign themselves up for the dates that work best for them.
To create a course, navigate to create a course via Training > Training Plan > Create Course.
You will need to confirm the module this course is for, set up the date and time of the course and choose if this is part of a string of courses or a one off individual course.
An example of a string of courses might be the Cellar course is on every Tuesday at 3pm for three weeks. Staff can sign up for the course that suits them and their availability.
Other relevant details you must set for the course include the training location, the training coordinator (who will be running the course). They will be asked to report on the attendees and confirm who attended and who passed/failed the course.
- Allow Accommodation requests - This option allows staff to request overnight accommodation before or after a training session. This can be useful for away days.
- Number of Places - This is how many staff can sign up to this course.
- Training Coordinator - This is the person responsible for the training course. They will be asked to report on the attendees and confirm who attended and who passed/failed the course.
- Course Extra Info - This is specific information for this one course. It might be additional details about the venue or anything that will be going on on the day for this one date.
- Lock Signup - Here you can set up when sign up to the course will be locked. After this date no further staff members can join the course and any accommodation requests are locked too. It’s designed to allow you enough time to book details, cancel under-filled courses and generally be prepared for the course.
- Cost - This is an optional value that is used to report on training costs per venue over a time period. It can be used for internal billing if training is shared. Accommodation costs are also included.
- Feedback Form - This feature requests that staff leave feedback after a course takes place. It can contain any number of questions and the results can be named or anonymous. For more information see our article on Feedback Forms.
Managing Courses
Once you have added a course date you will be taken back to the course management page. This can also be accessed via Training > Training plan > Manage Modules. Then scroll down to the module you want to add courses for and click Manage Courses.
This page shows you all of the courses for a particular module and shows them in three groups; upcoming, locked and past courses.
Available Places
When you have create a course with limited spaces, this page will display how many places you have available on upcoming courses for the module. It will also show you a popularity gauge that shows how full the courses for each module are. The popularity gauge will be red when there are no places available either because there are no courses or because all courses are full.
From this page you are also able to assign staff to a course, check any accommodation requests, edit the course details or delete an individual course date.
If you click in to add staff you also have more additional options, including the ability to update staff members attending the course by sending messages or emails via the actions menu.
If your course is part of a string you can add staff to all the relevant course dates. When adding staff into a course, there is an option on this page to switch between dates.
If a staff member can no longer make the course you can also swap them out for another staff member and make a note of if any staff members are late or did not attend the course under attendance flags.
