Modules are the bulk of content that make up a certificate. Each certificate must have at least one module. Whereas the other parts of the training plan are more structural, modules should make up the actual course information. A module might be an in person course or workshop, or it might be an online course. You can make each module optional or compulsory within the certificate.
Module Options
You can create a module by going to Training > Training Plan > Manage Modules and in the actions menu select Create Module.
You will need to set a title and specify which Certificate it will be attached to. It can be helpful to plan out the structure of your training programs or certificates so that you know exactly where a module will be assigned and also whether this module will be compulsory or not.
What type of module is it?
When creating a module, it important to understand that there are two types of modules you can create.
Online Modules
Online modules are simply a location to store information and an online exam. These are great for building an online course. Under Current File/Upload you can assign a document with relevant course information (This can also be added as additional material for a physical course) as well as a slide set that a participant can complete online in StaffSavvy. This allows you to set if you want to include relevant training documents for staff to work through before taking an exam. It will be shown to the staff above the instruction to take the exam so you can inform them to read the document within the module information.
This can then be followed up with an online exam. You will need to have created your exams before you can set them up. More detail on how to create an exam can be found here. This can great for getting a staff member trained up on a specific subject.
You can also set if a staff member will be paid for the time spent on training. If you choose to record a time entry, you can set they are paid for the exact amount of time they spent working on the exam or a custom amount of time. You can also set whether there is a limit to how many failed attempts at an exam a staff member still gets paid for.
Physical modules
Physical Modules are set up so that you can create practical courses or workshops at a location. You can set whether or not staff will be able to self book onto an open course date (for a course they have been assigned) or whether they will need to be assigned by their manager.
When creating a physical module, once you have set your details you will need to start adding courses.
Creating courses
Each course is a physical date and time for training to be given in person. You can also set up your course as a string. What this means is that you can link course dates together if you want them to be part of the same multi-part course.
Available Places
When you create a case there is also the option to set up a certain number of spaces available on the course, as well as a lock date for signing up.
This will then up as a summary on your module page once created and will display the information on how many places you have available on upcoming courses for that module. It will also show you a popularity gauge that shows how full the courses for each module are. The popularity gauge will be red when there are no places available either because there are no courses or because all courses are full.
You can also see courses that have happened in the past and courses where attendance is already locked. From this page you are also able to assign staff to a course, check any accommodation requests, edit the course details or delete an individual course date.
If you click in to add staff you also have more additional options. If your course is part of a string you can add staff to all the relevant course dates. From this page you can also update staff members by sending them messages or emails from the actions menu.
If a staff member can no longer make the course you can also swap them out for another staff member and make a note of if any staff members are late or did not attend the course under attendance flags.
Other module options
In addition to the options we have gone through there are several more configuration options when you are setting up a module:
-
Prevent Shifts - With prevent shifts you can choose if this module can be conducted while a staff member is already scheduled on a shift or if the course should not overlap with scheduled work time.
-
Section Information - This section contains any information about the course that you want to share with the people taking it, summarising what will happen on the course. This is displayed for all staff to read before booking a course or taking an exam.
- Section Requirements - This can be used to state any prerequisites that are needed before this course. You might also include anything that will be expected of the staff members to pass the course. This section can contain any information you want to share.
Having these options when building a certificate allows you to combine both types of module under one training umbrella, so you can include a physical training day and then an online module which includes an exam.
