The Work Eligibility Report report displays employment eligibility status of all staff in the system. It allows you to filter by their current eligibility status, access level, venues. From this page you are able to review these documents and change their classification. This can be found under Reports > Staff Reports > Work Eligibility Report.
The page will then show the staff member, the type of verification is required. Then, under Employment Eligibility Compliance you will see the status of their document, whether there is no record that has been uploaded, if it has been verified or if it has been validated in some other way.
The next column allows you to change a staff member’s classification. This option will only appear after a staff member has received a classification or verification. This option allows you to remove their current classification or to give them a new classification (if you require a different document from the staff member to prove their right to work).
The final option is to approve or upload documents. This means, if a document has been uploaded, you can review it and approve it. It is also where you are able to upload documents on behalf of a staff member. This is a frequently used process managers must navigate for new staff members that we will walk through below.
Why is it useful?
This report is used as part of the process of certifying employment eligibility for new staff members. This is required if a staff member has provided offline proof, for example, they have given a manager a physical copy of their passport, then the manager will need to upload a copy of the document. The manager can find the staff member through the Employment Eligibility report. This page includes every staff member and their Employment Eligibility Compliance. They can expedite the process of finding a specific staff member by filtering employee status to Documents Needing Review.
Next to the staff member they want to provide information for, a manager can choose to Upload or Approve Documents. This will take them to a page where they can either upload or approve a document. The required documents will be listed, and each one should be uploaded.
When uploading each document, the staff member will be informed of the points to check on the document. They will be asked to enter an expiry date if this is present on the document.
The manager will finally be asked to certify that they believe the document to be valid.
Once all documents are uploaded and validated, the staff member will be informed that their documents have been verified. When you go back to the main report page the staff member’s Classification and Employment Eligibility Compliance will have changed.
