The updated details report displays a list of all staff that have details that have been updated and need acknowledging. These details include personal information such as DOB and addresses. It will also include banking details, which are fields that might need to be updated for payroll purposes.
Staff can make changes to these fields from their profile, and once these changes have been made they will appear here as fields that have been updated.
The page is split into categories. Each column represents a different category of information. That information is further split into fields. If there has been a change within a category it will come up as a highlighted box saying VIEW. You can click into the field to acknowledge the new details.
When you go to review the updated information, the system will highlight the specific field(s) that have been added or changed for clarity. If there is not a pencil icon next to the field, it has not been updated. If there is a pencil icon next to a field, then it has been changed and requires approval and acknowledgement (alternatively, you can choose to reject the information if something is wrong).
There is also the option here to acknowledge all shifts at once. If you choose this option, you won’t be able to check and review details, so make sure you have reviewed important information before acknowledging and locking the fields.
Exporting details
You can also export these updated details for excel or payroll. If you choose to export a file, you can export it either as an excel file, a sage payroll file or a Paiyroll export.
If you are exporting to excel or Paiyroll, you will receive a file that you can use to export employee records. You can choose to export a version with all known details or just the updated information that has not yet been acknowledged. This file might take several minutes to generate and download. Please be patient.
If you choose to export for Sage Payroll, this tool will provide a file that you can use to import employee details into Sage Payroll. It can either provide all known details or just updated information that has not yet been acknowledged.
